Privacy Policy

1. Introduction
Checkpoint ("the App") is a field operations platform developed and operated by Aries Training
("we", "us", "our"). This Privacy Policy explains how we collect, use, and protect your information
when you use the App at checkpoint.aries.training.
2. Information We Collect
We collect the following types of information:
- Account Information: When you register, we collect your name, email address, and a password you choose.
- Gemini API Key (optional): If you choose to add your own Google AI Studio API key, it is stored encrypted on our servers and used only to send your own AI requests to Google (see Section 3). The App does not receive your Google email address, name, profile picture, or password.
- Field Service Data: Reports, checklists, job records, and other operational data you enter into the App.
- Usage Data: Browser type, pages visited, and general usage patterns to improve the App.
3. How We Use Google Services and Your API Key
The App's AI features run on the Google Gemini API. Requests are sent from our server using either
the App's own shared API key (subject to a small daily limit per user) or, if you have added one,
your own Google AI Studio API key. The App does not sign in to your Google account and does not
request access to your email, contacts, files, or any other Google data.
The App uses this access only for features you start:
- AI Assistant: your chat messages are sent to Gemini to generate a reply or fill in forms. A screenshot of the current page is included only if you have turned screenshots on.
- Serial number scanning: when you tap Scan on a checklist photo, that single photo (or the area you selected) is sent to Gemini to read the serial number. You review and confirm the result before it is saved.
- Incident summaries: when you finish entering an incident's complaint, cause, and correction and its summary is empty, that text is sent to Gemini once to suggest a short title.
- If you add your own Gemini API key, it is encrypted before being stored and is used only to authenticate your own AI requests to Google. It is never sent back to your browser, never shared with other users, and you can remove it at any time from the AI Assistant's settings. Request content passes through our server solely to be forwarded to Google and is not stored.
- We do not share, sell, or transfer your Google user data to any third parties.
- We do not use your Google user data for advertising or profiling purposes.
Checkpoint's use and transfer of information received from Google APIs will adhere to the
Google API Services User Data Policy,
including the Limited Use requirements.
4. Data Storage & Security
- Account data and field service records are stored on secured servers hosted by A2 Hosting.
- All data is transmitted over HTTPS (TLS encryption).
- Passwords are hashed using industry-standard algorithms and are never stored in plain text.
- Google OAuth tokens are held in browser session memory only and are discarded when you sign out or close the browser tab.
5. Cookies & Local Storage
The App uses browser local storage to remember your preferences (such as your assistant mode setting).
We do not use third-party tracking cookies.
6. Data Sharing
We do not sell or rent your personal information. We may share data only in the following circumstances:
- With your employer or organization, as Checkpoint is a workplace operations tool and field service data is inherently shared within your team.
- When required by law or to respond to valid legal processes.
7. Data Retention & Deletion
Your account and field service data are retained as long as your account is active.
You may request deletion of your account and associated data by contacting us at the address below.
8. Your Rights
You have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and data.
- Revoke Google OAuth access at any time via your Google Account permissions.
9. Children's Privacy
Checkpoint is a business operations tool and is not intended for use by individuals under the age of 18.
We do not knowingly collect data from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated
"Last updated" date. Continued use of the App after changes constitutes acceptance of the updated policy.
